How to make a wedding seating chart from your guest list

Start with confirmed people, make a practical table plan, then turn it into the signs and cards your guests will use.

Prepare one person per row

Bring names, households, attendance and meal choices into one spreadsheet. Use a designated dietary column and keep private planning notes separate. Review possible duplicates without assuming a shared name means a duplicate person.

Set the tables with your venue

Confirm table count, shapes and capacities. Discuss accessibility, service paths and the head table with your venue. A basic room preview is useful for ideas, but it is not a capacity assessment.

Assign households, then refine

Place people who should sit together, then review the balance at each table. Use drag-and-drop or assignment menus. Resolve over-capacity tables and unassigned attending guests before exporting.

Decide what guests see

A table-grouped display is pleasant to browse; an alphabetical display helps guests find their own names quickly. Escort cards offer another way to direct arrivals. Place cards guide guests at the setting.

Proof every output from the same source

Check spelling and pending attendance, then generate matching files. Start with an actual-size test print. After changes, regenerate files and replace older copies with your venue and printer.

Keep the lovely details together.
