For the venue: names and tables
The practical venue list maps guests to table labels. Make those labels match the room and decorative table cards. Resolve unassigned attending guests before handing it over.
For the caterer: meals by table
Use the caterer sheet to group meal counts by table. Review unspecified meals and discuss the format with the team who will use it. A meal label is not an allergy-management guarantee.
Share dietary information deliberately
Dietary details belong in the designated dietary field. They appear on the caterer sheet only when you enable that option. General private notes stay excluded from every print output.
Agree a final version and change process
Confirm who receives revisions, when the last update is accepted, and which file supersedes earlier copies. Regenerate both practical and guest-facing documents when assignments change.
